Where to obtain spend data and what to include

What to Include

Include all spending that reflects your company's operations and supply chain: office supplies and services, utilities, business travel, raw materials and components, manufacturing or assembly services, packaging, professional services, and maintenance and repairs. Depending on your business, you may also include uniforms, furniture, equipment, telecommunications, subscriptions, marketing, and training.

What to Exclude

Green Project Technologies will not be including any of the following in your emissions assessment:

  • Payroll (employee salaries and bonuses)

  • Employee benefits (pension contributions, health insurance, etc.)

  • Rent expenses for premises

  • Charitable donations or grants

  • Financial expenses (loan fees or interest on money borrowed)

  • Taxes or business rates at a national or local level

  • Transfer of funds between internal entities

You can exclude these yourselves before submitting your spend data, or Green Project Technologies will exclude them when calculating your emissions.

Where to Find Your Spend Data

Most of what you need is already in your company systems. Accounts payable, procurement records, your general ledger, accounting software, credit card statements, and supplier invoices are all good sources.

If you're unsure what to include, start with what's easiest to access β€” our team can help you organise and verify it before submission.

To make requesting the data easier, you can use the below email template:

Hi [name],

We are supporting one of our key customers to understand the carbon impact of the products/services we deliver to them. There is business value in our participation.

To support them, I require an export of our spend (i.e. procurement) data. The data I need specifically is the spend amount for purchased goods and services.

For ease, you can use this template.

Please exclude any sensitive or personal data. This relates to identifiable information, including names, addresses or card numbers - for example, please do not include payroll or employee benefit information.
